Transcripts and official letters

UC provides both electronic and paper copies of official academic transcripts and letters that confirm the details of your studies at UC. These can be used as evidence of your UC education to prospective employers and/or other universities for further study.  

HOW TO APPLY

Once you have completed a qualification at UC and it has been formally conferred by UC Council, a free digital copy of your UC academic transcript will be issued to you automatically through My eQuals. This transcript includes the courses you have studied at UC, your grades for all courses, any credits transferred from another institution, official scholarships you have been awarded, and any awarded/conferred qualifications. You can share it as often as you need using the My eQuals 'share' function. An additional paper copy can also be ordered, which will be posted or couriered to you. 

If you need a copy of your academic transcript before your qualification is completed and conferred, you can order a transcript that shows your grades for all courses you've taken to date at UC. Note: this will not include grades for any courses that you have not yet completed, so you may choose to wait for grade release before having your order fulfilled.

Other official documents confirming your study details at UC are also available, such as a letter confirming your eligibility to graduate, a letter verifying that you've had a degree conferred, or a summary of your grade point average (GPA). These can all be ordered as digital documents (which will be uploaded to My eQuals), or as paper documents (which will be posted or couriered to you). 

The following documents can be ordered:

An Academic Transcript is an official record of the study you have completed at UC which shows completed courses and associated grades, and any conferred qualifications. Courses that you have withdrawn from (showing as 'WD' or 'WDFR' on your internal transcript when viewed in myUC) are not included on your official academic transcript.  You can order a digital copy (which will be uploaded to My eQuals and replace any previous UC transcript there) or a paper copy (which can be posted or couriered to you).   

 

An official Academic Transcript will show:

  • your full legal name and UC student ID number
  • the reason you were granted admission to UC (this may include the year you were first eligible to attend university)
  • all courses you have completed at UC and the grades you achieved for each course (including a 'fail' grade for any courses you did not formally withdraw from)
  • qualifications you have completed
  • qualifications you have been awarded/conferred and the date of conferral
  • scholarships you have been awarded by the UC Scholarships Office
  • a summary of any credit transferred from another institution
    (UC cannot provide a copy of your transcript from the original institution for which you've received credit towards a UC qualification. You must instead order one from the original institution)

 

An official Academic Transcript will not show:

  • Grade Point Average (GPA) calculations or values
  • most notes that appear on your internal record
  • courses from which you have formally withdrawn (these will show as WD or WDFR on your internal record in myUC). 
  • scholarships you have been awarded by departments, schools or faculties

This letter confirms your eligibility to graduate, so it can only be issued once your final grades have been officially released, you have met all qualification requirements, and the qualification has not yet been awarded to you. You can order a digital copy (which will be uploaded to My eQuals) or a paper copy (which can be posted or couriered to you).   

 

An Eligibility to Graduate letter will show:

  • that you are eligible to graduate
  • when you completed the requirements of your qualification(s)
  • your level of honours (if applicable) and/or any applicable majors or endorsements 

 

An Eligibility to Graduate letter will not show:

  • information about lecture attendance or hours of study completed
  • details about individual courses you have completed

This letter officially confirms all qualifications that have been conferred (awarded) to you by the University of Canterbury, and so can only be issued after conferment. You can order a digital copy (which will be uploaded to My eQuals) or a paper copy (which can be posted or couriered to you).   

 

A Conferment of Degree letter will show:

  • when you completed the requirements of your qualification(s)
  • your majors/endorsements (if applicable)
  • the date(s) of the conferment/award of the qualification(s)

 

A Conferment of Degree letter will not show:

  • information about lecture attendance or hours of study completed
  • details about individual courses you have completed

A summary showing your overall Grade Point Average (GPA) for all your study at UC, along with your annual GPA for every qualification you have studied at UC.  You can order a digital copy (which will be uploaded to My eQuals) or a paper copy (which can be posted or couriered to you).   

 

A Grade Point Average summary will show:

  • your overall GPA for all years you have studied at UC
  • your GPA for each year for every qualification you have studied at UC
  • an explanation of the way GPAs are calculated at UC

 

A Grade Point Average summary will not show:

  • information about lecture attendance or hours of study completed
  • confirmation of conferred/awarded qualifications
  • any grades that have not been officially released
  • your official ranking for a course or graduating cohort for a qualification

A testamur is the certificate you receive at graduation that shows the qualification you have been awarded, your level of honours (if applicable) and any majors/minors/endorsements.  It also includes the Registrar's and Chancellor's signatures, the date of conferment, and the University seal. Only one original testamur can exist at any time and no duplicates or copies are issued.

If you have a query about a replacement testamur, please email Academic Records. If you are deemed eligible for a replacement testamur, a fee will apply. 

Please note that UC cannot issue digital testamurs for qualifications conferred before the University implemented My eQuals (25 July 2018).

Verifying qualifications conferred by UC

The conferment of qualifications is a matter of public record, and all qualifications conferred by the University of Canterbury from 1980 to the present, and by the Christchurch College of Education between 1997 and 2006, can be verified online using our Graduate Search. Chrome is the recommended browser.

Requests for information beyond what is accessible in the Graduate Search must be made in writing to transcript@canterbury.ac.nz and be accompanied by written authorisation from the graduate/student. We will not provide additional information over the phone.
