Information for Verification Agencies
Information for employers, verification agencies, professional bodies, government agencies, education providers, and other third parties to verify a person’s enrolment, study, completion, or qualifications at the University of Canterbury.
The University of Canterbury is subject to the Privacy Act. Without the student’s or graduate’s authorisation, the University can provide only information that is publicly available through the Graduate Search.
A student’s information becomes part of the public record only after their qualification has been formally conferred. Authorisation is required if:
- the person has completed the requirements of a qualification but has not yet graduated;
- confirmation of enrolment or attendance is required; or
- information beyond the public record is requested.
Information Available Without Authorisation
The University may confirm:
- the graduate’s name;
- qualification(s) conferred, including majors, minors and class of honours where recorded in the alumni database; and
- the date(s) of conferral.
Before submitting a request
- Check the UC Graduate Search if you only need to confirm whether a qualification has been formally conferred.
- If you require information that is not available through Graduate Search, ask the student or graduate to share an official document with you through My eQuals or submit a written verification request with their signed authorisation.
- For all other non-public academic information, follow the process below to submit an order. Please note: UC cannot release non-public academic information without appropriate signed authorisation and does not provide verification information by telephone.
Requesting an Education Verification
The University of Canterbury uses a formal ordering system for requests from verification agencies, where appropriate signed authority from the student/graduate has been received. The fee for an education verification is NZ$35.
1. Place an Order
When completing the order, enter the following information in the free-text Comments field within the Billing section:
- the student’s or graduate’s full name
- the student's or graduate's previous names; and
- their date of birth.
A confirmation email containing the order number will be issued once the order has been placed.
2. Submit the Verification Request
Email the full request to the University of Canterbury Transcripts Office at transcripts@canterbury.ac.nz.
The email subject line must include:
- the order number;
- the full name of the person who is the subject of the enquiry; and
- their date of birth.
3. Attach Authorisation
Attach written authorisation from the student or graduate. The authorisation must:
- identify the person who is the subject of the enquiry; and
- be signed and dated by that person.
My eQuals
Students and graduates may also provide verified evidence directly by securely sharing an official academic transcript, qualification certificate, or official letter through My eQuals. Documents accessed through My eQuals are issued and controlled by the University of Canterbury. The University advises that a printed copy or ordinary PDF copy of a My eQuals document is not an official record.
