Order an academic transcript or official letter

Order a digital or paper copy of your UC academic transcript or other official letters verifying your study at UC.

HOW TO APPLY

You can order both digital and paper copies of your UC academic transcript and other official letters that verify the study you have completed at UC. 

To order a digital or paper copy of your academic transcript or an official letter, you will need to fill out the relevant online form and pay the applicable fee. 

To order a replacement testamur, you must first contact transcript@canterbury.ac.nz and then follow the instructions provided.

How much will it cost?

A digital copy of an academic transcript or document will cost $35 per document and no shipping fees apply. Only one copy of a digital document can be issued at any one time. A paper copy is $45 for the first copy and $25 for additional copies in the same order. A replacement testamur (if approved) is $120. Standard shipping is free for paper copies, but courier (tracked) within NZ is $5.50 and overseas is $80. 

A digital copy of an academic transcript, a letter of eligibility to graduate, a letter of conferment of degree, or a Grade Point Average summary will all cost $35, and only one digital copy of each document is available. A paper copy for any of these documents will cost $45 for the first copy, and $25 for any additional copies in the same order. A replacement testamur will cost $120. These are 2026 prices.

Digital copies

Digital copies are uploaded to My eQuals and can be shared as often as you need using the 'share' function in My eQuals. Only one copy of each digital document can be uploaded at any given time. Do not order more than one copy of a digital transcript or letter.

Digital copies will not be sent by email to you or a third party. If you wish to share a digital document with a prospective employer or another university, you must use the 'share' function in My eQuals.

 

My eQuals accounts

If you do not have an existing My eQuals account, your account must first be set up by the UC Records team - do not attempt to set up an account yourself. Once your digital document is ready, you will receive an email from My eQuals with instructions and a link to set up your account. This email will be sent to your personal email address, not your student (uclive) email address.  

If you already have a My eQuals account set up, you will receive an email notification from My eQuals when a new digital document has been issued. If you are expecting a digital document that's overdue, check your spam/junk email folders for the email notification from My eQuals.

UC provides digital documentation as a signatory of the Groningen Declaration.

 

Paper copies

If you order a paper copy of your academic transcript, official letters, or a replacement testamur, these will be posted free of charge unless a courier is required, in which case an additional fee will be charged. Paper copies will be posted to the address you provide in the order form.

Couriered documents cannot be delivered to a PO Box; please provide a physical delivery address and include a phone number in your order details. 

Paper copies cannot be collected from the University once the order has been processed. 

If you would like a paper copy to be posted to a third party, you must email transcript@canterbury.ac.nz with your authorisation, clearly stating: 

  • your full name
  • your student ID number
  • the name of the person to whom the document(s) should be posted
  • the reason why you require the document(s) to be posted to this person
Before you order

Any outstanding debt you have with UC must be cleared before a transcript can be issued. This includes overdue Health Centre fees, library fines, tuition fees, and accommodation fees. Neither digital nor paper copies will be provided without confirmation of the required payment.

Please allow a minimum of 10 working days for your order to be processed. During busy times (such as immediately after grade release), it will likely take longer.

Troubleshooting

If you experience difficulties with the order form (eg cannot add or remove items from your cart) please try using another browser  - we recommend Chrome. If the issue persists after switching browsers, email transcript@canterbury.ac.nz or call +64 3 369 5508 and do not complete or pay for your order. 

Please note that there is a known fault with viewing your testamur on Apple products in My eQuals where the Chancellor's signature may not display correctly or shows up as a black box. If this should occur, please view your documents using a Windows product instead.
