Qualtrics Survey Support

Many UC academics and students do surveys with Qualtrics for their research. This is the perfect software to support data gathering. It enables agile and tailored data collection. From access to troubleshooting, check out the Qualtrics Survey Support available.

HOW TO APPLY
Making a Qualtrics Account

Any UC staff member or student with a @canterbury.ac.nz, @uclive.ac.nz, or @pg.canterbury.ac.nz email address can create a UC Qualtrics account free of charge.

  • Go to https://canterbury.qualtrics.com/ (opens new tab). 
    • You must use this link to create a UC-affiliated account. DO NOT use generic Qualtrics.com
  • Click "Log in via UC Username (SSO)"
    •  You will be prompted to log in using your UC Microsoft account (the same way you already access many university systems like Outlook, Teams, or AKO|LEARN).
  • Your account is automatically created. Continue to log in via the "UC Username SSO" option

If you are ever asked to purchase more functionalities, you likely made a free account on generic (i.e., non-UC) Qualtrics.com. Jump to Account Troubleshooting for solutions.

Important!
  1. Qualtrics as a company offers various various paid services for research or panel recruitment. These are not included in UC's Qualtrics License. You may be responsible for any costs incurred. You must obtain explicit approval from authorised parties before purchasing any products or services.
  2. UC's Qualtrics license is not permitted to be used for commercial purposes. If you have any questions, please reach out to surveys@canterbury.ac.nz.

You must follow UC’s student‑survey procedures and use the UC Survey Calendar before you invite students.

Test thoroughly before you distribute - most problems we see come from untested surveys.

  • Pilot first: test it yourself, then with 2–3 peers. Check wording, logic/branches, and completion time.
  • Generate test (dummy) responses in Qualtrics, export the data, and confirm variables are in the formats you need (e.g., numeric codes for scales, valid dates, email/text validation).
  • Fix design early: if you need continuous data (e.g., exact age) don’t use categories (e.g., age bands). 
  • Avoid mid‑survey changes: edits after launch can break logic or make early data unusable.

Guidance: See Qualtrics Support – Anonymized raffle. Focus on About Creating an Anonymized RaffleSurvey One: Main Study, and Survey Two: Manual Raffle.

Use a two‑survey (anonymised raffle) setup.

  • Survey 1 (main study): collect responses anonymously (don’t ask for contact info).
  • Redirect to Survey 2 at the end. Use a referral website URL rule so only Survey 1 can access Survey 2.
  • Survey 2 (raffle): collect name/email only for the prize draw. Stored separately from responses.
  • (Optional) In Survey 1, turn on Anonymize Response if appropriate.

Important: Test with your live survey link (not a Preview link). Preview will show “not authorised” because of the referral website URL setting.

UC Qualtrics accounts automatically disable after 12 months of no sign‑in. Your surveys and data are safe. Email surveys@canterbury.ac.nz to re‑enable your account.

Account Troubleshooting
 
Your Qualtrics has limited features or prompts to pay

If you see upgrade prompts or missing features, you’re likely using a free Qualtrics.com trial. UC can only support accounts under the UC Qualtrics licence.

Check your account

  1. Sign in to Qualtrics and select your account icon (top right).
  2. Under your name, check Affiliation:
    • University of Canterbury → you’re on the UC licence.
    • Qualtrics Sharing or QTrial → this is a free, non‑UC account.

We can’t increase permissions on free accounts. Don’t run surveys from a free account - you may have issues exporting data and sending multiple mailings.

 
If you created a free Qualtrics.com account
  1. Request a User Move with Qualtrics: 
    • Go to https://www.qualtrics.com/support/ 
    • Click "Contact Support" - you may be prompted to sign in.
    • Navigate to "Get Technical Support;" you'll be asked to indicate which area you need support with. Select "Surveys & XM Directory." Into the chatbot window, type "I need to initiate a user move"
    •  Follow the steps outlined there
  2. Email surveys@canterbury.ac.nz so UC can confirm your access with Qualtrics.
  3. Timeframe: a few days to several weeks. Start early - UC can’t expedite this process.
