The process

This is a busy time of year for Student Records. Please allow 5 - 7 working days for your order to be processed.

Please note that due to Graduation and the Christmas / New Year break, transcript orders submitted after midday Thursday 19 December 2019 will not be processed until 3 January 2020 at the earliest.

Student Records will close at 4pm NZST 23 December 2019 and will reopen at 9am NZST on 3 January 2020. Transcript orders will NOT be processed during this period.

Online orders with a credit card

Order your transcript using the Online Transcript Request Form

Online orders without a credit card

There are three payment options if you are ordering the transcript online and are NOT paying via credit card. Please note that payment must be received before orders for digital transcripts can be processed:

1. Online payment

  • Send the Transcript Request Order Form to the University using the 'Send Form to University' button at the top of the last page.
  • Pay by bank transfer at the time of ordering and email transcript@canterbury.ac.nz to let them know your order has been paid for.
  • Pay by eftpos/cheque or credit card when you collect the transcript.

2. Bring in your completed order form

  • Print out the Order Form and bring it in to the Student Services Centre, Level 1, Matariki.

Once any outstanding fees or charges are paid, please email Student Records to let them know transcript@canterbury.ac.nz. Include your full name.

If in hard-copy (paper) format the transcript/letter may be collected from the Help Desk, Student Services Centre, Level 1, Matariki or posted/couriered to an address provided. You will be emailed when the transcript and/or letter is ready to collect. You will need to bring a form of ID if you are collecting a transcript from the Help Desk.

If you ordered a digital document you will receive an email notification from My eQuals advising when your document/s have been issued. The email will be sent to the permanent personal email address provided upon enrolment or advised by you subsequently.
Please note that the email notification is frequently diverted automatically to spam / junk mail - please check these first if you are waiting for digital documents.

Please note that we cannot courier documents to PO Boxes - we require a physical address.

If in hard-copy (paper) format and someone else is collecting your letter/transcripts, or they will be posted to someone else on your behalf, then you must provide a letter which:

  • Is signed by you
  • States your name
  • States the name of the person acting on your behalf

Or, email transcript@canterbury.ac.nz and give authorisation stating the name of the person who is collecting the letter/transcript on your behalf.

Please note that it takes a minimum of 24 hours for digital transcripts to be processed - these cannot be provided immediately.

Please allow 3 to 5 business days (Monday - Friday) for your order to be processed. Please note that this is guideline only; during busy times (i.e. immediately after grade release) it will take longer to process orders.

Please note that physical orders cannot be couriered to a PO Box. A physical address must be provided.
