Costs and how to order

As of Monday 5 October, all orders for transcripts and/or letters must be paid for online using a credit or debit card during the ordering process. This is due to the implementation of an E-Commerce platform at the University of Canterbury.

Please note that there may be delays processing your order as we adjust to the new form

Please note that it takes a minimum of 24 hours to process an order for a digital transcript

Due to Covid-19, we are finding that orders sent via International Post are taking a very long time to reach their destination (up to three months in some cases). If you require a physical (paper) copy of your transcript urgently, please select the 'courier' option when filling out the order form.

 

All students who graduate after 25 July 2018 will automatically recieve a free digital transcript and testamur upon graduation. If you haven't graduated yet, or you graduated prior to 25 July 2018, you will need to order and pay for your transcript according to the costs below.

Online orders without a credit or debit card

Official transcripts can not be released or uploaded to My eQuals until payment is confirmed.

An official record or official letter can not be issued if a student has outstanding fees or charges, such as:

  • Library fines
  • Tuition fees
  • Accommodation fees.

Your request won't be processed until the account is cleared with Financial Services.

Once any outstanding fees or charges are paid, please email Student Records to let them know transcript@canterbury.ac.nz. Include your full name.

If in hard-copy (paper) format the transcript/letter may be collected from the Help Desk, Student Services Centre, Level 1, Matariki or posted/couriered to an address provided. You will be emailed when the transcript and/or letter is ready to collect. You will need to bring a form of ID if you are collecting a transcript from the Help Desk.

If you ordered a digital document you will receive an email notification from My eQuals advising when your document/s have been issued. The email will be sent to the permanent personal email address provided upon enrolment or advised by you subsequently.
Please note that the email notification is frequently diverted automatically to spam / junk mail - please check these first if you are waiting for digital documents.

Please note that we cannot courier documents to PO Boxes - we require a physical address.

If in hard-copy (paper) format and someone else is collecting your letter/transcripts, or they will be posted to someone else on your behalf, then you must provide a letter which:

  • Is signed by you
  • States your name
  • States the name of the person acting on your behalf

Or, email transcript@canterbury.ac.nz and give authorisation stating the name of the person who is collecting the letter/transcript on your behalf.

Please note that it takes a minimum of 24 hours for digital transcripts to be processed - these cannot be provided immediately.

Please allow a minimum 3 to 5 business days (Monday - Friday) for your order to be processed. Please note that this is guideline only; during busy times (i.e. immediately after grade release) it will take longer to process orders. 

Please note that physical orders cannot be couriered to a PO Box. A physical address must be provided.
