Link to documents
This page describes how to format links to downloadable documents e.g. PDF, Word, PowerPoint etc
Note: Links on the page are for instruction. They won't take you to actual sites.
File types and formatting links
The best format to use for the web is HTML, ie a web page like this one. If you need to attach a downloadable document the following applies:- Many downloadable documents don't require editing and should be converted to PDF format
- Documents requiring editing can be saved in Microsoft Word, Excel etc
- Files type formats are aligned to the common names by which the format is known. See 'document type formats' on the formatting links page in the style guide
- All attachments must include the file size eg (PDF, 28KB)
- Only the words of the attachment should be linked (not the space after)
Right - Usability Testing (PDF, 56 KB) (the space after (PDF, 56 KB) has no link)
Wrong - Usability Testing (PDF, 56 KB) (the space after (PDF, 56 KB) is linked) - Linking to documents with more than one format should be linked separately to each file type
e.g. Salary Review Recommendation... (PDF, 36 KB)
e.g. Salary Review Recommendation... (Word, 46 KB)
Examples of links within a web page
Note: These links are for instruction and don't link to documents. If clicked on you jump to the top of the page.
A list of linked documents
- Centennial Grant Application Form (Word, 1.2 MB)
- Erskine Grant Application Form (Word, 23 KB)
- Erskine Grants Information for Staff (PDF, 107 KB)
- Intranet Update (PowerPoint, 85 KB)
- Usability Testing (PDF, 56 KB)
A document link within a paragraph
Please download the Equity Grants application form (Word, 1.6 MB) and send to the department administrator.
NB: Files greater than 1 MB e.g. 6,035 KB should be written as 6 MB.
Linking to a document with more than one format
Documents in the main navigation area of the page
Attachments should not be included in main navigation. It is not appropriate to have content within a list of links. However, if it can not be avoided for a temporary period the links must conform to the standard.
