Frequently Asked Questions
Timetabling
How do I access my UC timetable?
- You need to be fully enrolled (ENR status) to have access to My Timetable. Check the enrolment FAQs if you don't know what status you are in.
- You also need your permanent UC username and password. If you don't know this, please call 0800 VARSITY (827 748) for assistance.
- Go to My Timetable.
- The course information website provides timetable information for individual courses. If you are not fully enrolled you can use the CIS to search for timetable information by course code. If you can't find the information you need, contact your Course Coordinator for assistance.
- All of the UC Timetable information you need, including help material is available here: www.canterbury.ac.nz/theuni/timetable/.
Is my timetable subject to change?
- Leading up to the start of each semester changes occur behind the scenes as enrolment numbers change and a suitable schedule is established (i.e. one that meets the needs of the majority of students). This may mean some timetable details, particularly venues, will change. We do not envision the level of change the Semester One timetable underwent.
- We recommend that you monitor your timetable using My Timetable up until the first week of the semester, in case something changes.
- Changes can occur for a variety of reasons, e.g. managing class sizes to adhere to health and safety standards.
My UC timetable doesn't work with my personal schedule. Is there anything I can do to try and resolve this? (updated 18 May)
- You have until two weeks after the official course start date to make any changes to your courses selections (with full tuition fees refund).
- We recommend that you talk to a Student Advisor before making any changes to ensure that you have considered all of your options.
- Please see the enrolment FAQs for information about changing courses.
How do I make a change to my course selections?
- Please see the enrolment FAQs for information about changing courses.
How do I know if I have a timetable clash?
- You will need to use My Timetable to identify any clashes. Here is what to look for:
- In the "My Timetable" view a clash can be identified by looking for two activities overlapping during the same time period, on the same day. If the activity is set to the same semester (identified as S1 or S2), this will be a clash e.g.
- In the "List" view you can cross reference your courses on the left of the screen with those on the right. If these two lists don't match, this may be due to a clash.
- In the "List" view you may also see a course placed under the heading "You have not yet allocated to". This may be because you can't get allocated to that activity as it will cause a clash in your timetable e.g.

What do I do if I have a timetable clash?
- If a clash has been identified, in some cases, this means you will need to change courses to resolve the issue.
- Please discuss this with the relevant College Student Advisor and your Course Coordinator so that they can explain the options specific to your individual needs.
- If you are unsure who to contact, the Contact Centre will be able to inform you (call 0800 827 748).
How do I know what room I am in for my activities?
- Room allocations will be displayed in My Timetable before your course starts.
- We recommend that you check My Timetable before heading to class to ensure that you have the most up to date room location.
Why do some of my courses display under “no available activities”?
- This is because the timetabling engine has not yet assigned scheduled activities to a course.
- This could be because the course is scheduled for a different semester (where the timetable has not yet been established), or it may be that work is still occurring behind the scenes to ensure your Course Coordinator is satisfied with the proposed timetable before it is scheduled.
Why do some of my courses show under “the following are now closed?”
- Some programmes need to retain the ability to allocate students into repeats until they know the quantity of students likely to attend each activity.
- In this case the Course Coordinator has requested that the course remains displayed as closed in My Timetable.
- When and if appropriate, these courses will be opened for activity allocation once the Course Coordinator has given approval.
My Timetable is set to “read only”. When will I be able to make some changes?
- Leading up to the start of each semester changes occur behind the scenes while Course Coordinators are liaised with to establish a suitable schedule (i.e. one that meets the needs of the majority of students). During this period you will notice activity groups are set to “read only”. This will change once the Course Coordinator has given approval.
- An activity is a scheduled lecture, lab or tutorial associated with the course that you are enrolled in.
- A repeat is an activity where the content is repeated on different days and times of the week i.e. there are multiple instances of an activity.
- You only need to attend one repeat option each week.
- Note: These were referred to as streams in the old UC timetabling system.
What does “Auto Allocated” mean?
- This occurs when there is only one activity available i.e. no other streams/options for you to choose from.
Can I allocate myself to activity repeats (streams)?
- This is termed “self-allocation” and is available for some activities depending on what has been approved by your Course Coordinator.
- If an activity displays with (Auto Allocated) beside it, you WILL NOT be able to self-allocate; otherwise you should be able to click on the activity link and view a list of available activity repeats.
- Note: While the timetable is being established activity groups are set to “read only”. Self-allocation will be activated, if applicable, when the Course Coordinator gives approval.
Why aren’t all of my activities displaying on my timetable?
- We recommend using the List view (i.e. select My Timetable, then “show as list”) to view all of your activity allocations.
- You may notice some activities under the heading: “You have not yet allocated to” e.g.
- The Course Coordinator is yet to complete your allocation (this will happen before your course start date) or
- You have not yet self-allocated to your preferred repeat. Note: while the timetable is being established activity groups are set to “read only”. Self-allocation will be activated, if applicable, when the Course Coordinator gives approval or
- A clash is preventing you from being allocated to an activity.
This can occur if either:
Where should I go for help using the My Timetable interface?
- A range of help material is available online.
- If you still need help the staff at any ICT Service Desk can show you the basics.
When will the 2013 timetable be available?
- Based on student survey feedback, we are aiming to publish the 2013 timetable in late 2012 and have already commenced planning work with colleges.
