Submission for examination purposes

PhD thesis checklist: before you submit

The checklist brings together what you need from the Library Thesis Portal and UC Policy Library to help you avoid unnecessary stress. Use this checklist to ensure you have completed everything you need to before you submit your thesis.

You should read the information in the Library Thesis Portal (Library website).

1. Make sure your fees are up to date

There will be a fees clearance check of your record when you submit your thesis. This check is completed by the Postgraduate Office. You must be enrolled or in your month of grace for the Postgraduate Office to accept your submission. For further information regarding this clearance check, please consult the University’s policy document Financial and Enrolment Information.

2. Decide how your thesis can be used

For more information on the availability of theses for consultation and copying, and the related form and policy, see restrictions on the use of your thesis (Library website).

3. Thesis binding

You must have your thesis copies softbound. We recommend that you check the opening hours of the campus Bindery (near the Warehouse on Kirkwood Avenue, Ilam) and allow sufficient time for binding. However, you may get your documents bound elsewhere.

To submit your thesis

1. Number of bound theses to submit

If you enrolled prior to 1 December 2007, you may choose to remain under the old set of PhD Regulations for your thesis examination. You will need to submit three soft bound copies of your thesis. If you choose to be examined under the new set of PhD Regulations, you need to advise the Postgraduate Office of your intention, in writing at submission and hand in two softbound copies of your thesis.

2. Fee to submit your theses

Pay the hard binding fee in in Erskine 111. This will pay for binding your final corrected copy at the library.

3. Where you bring your theses

Bring your theses to the Postgraduate Office, currently located in NZI3 on Creyke Road until 20 July - the Postgraduate Office will be located in Erskine 244 from Monday, 25 July.

4. International students

International students should contact Enrolments, Student Services Centre, following submission of Thesis to discuss their Visa situation.

Immigration New Zealand encourages students to apply for a 12 month open work visa (Graduate Work Visa) as soon as practicable so that suitable employment can be obtained.GWV.PhD.web info.pdf

Alternatively, the student will need to apply for a Visitor Visa for the reminder of their stay in New Zealand.
